We are now looking for a Patent Administrator and an Invoice Administrator to support the Patent Organization. You will ensure that the administrative part of Patent Portfolio Management, i.e. handling of communication and invoices related to management of patent cases. You will among other collaborate with Patent Professionals, Inventors, Patent Unit Managers and Outside Counsels/Law firms.
Admin responsibilities:
Incoming mail: Sort, scan and upload to patent archive for all external mails, distribute all internal mails to respective AS’s postbox.
Outgoing mail: Sort and send all outgoing mails as registered letters on every Friday.
Invention disclosure registration (IvD) and validation
Managing Communications to European Patent Office (EPO) mailbox
Downloading EPO communications daily and upload work log
Other general tasks
Invoice handling responsibilities:
Verifying that invoice data has been input accurately by accounts payable
Confirming that supplier invoices comply with our contractual budgets and approve invoices
Watching out for poor invoicing behavior (double billing, non-requested services)
Answering general billing questions that suppliers have
Connecting with accounts payable (A/P) on a regular basis to make sure the invoice handling is smooth
Supporting and participate in other related projects
Qualifications:
Experience from a similar position
Microsoft Office 365 knowledge
Proficiency in English
Patent Process Knowledge
Knowledge Sharing & Collaboration Skills
Coaching & Mentoring Skills
Project Management Skills
