Global Engineering & Real Estate (GERE) has the mission to deliver business benefits through investment in new capital assets. Delivery of this capital is accomplished through chartered projects that require a professional AstraZeneca team to lead and manage the overall efforts. At GERE we work with complex and high impact projects and engagements within Astrazeneca and embrace an inclusive & diverse workforce, opportunities for personal and professional development and GERE is now looking for a Portfolio Administrator who will support the Global Engineering Portfolio in Södertälje, Sweden. The Administrator will be reporting directly to the Project Execution Director Sweden.

In addition to support Global Engineering Procurement in Sweden and reporting directly to Associated Procurement Director Sweden.



Accountabilities/Responsibilities

- Supports the Global Engineering Project Execution Director and team members (incl. Global Engineering Management team in Sweden) and the Global Engineering Procurement Associated Procurement Director on various administrative tasks including amongst others calendar coordination, training portal administration, communications monitoring and Outlook distribution list coordination
- Books travels and handles expenses in a consistent and compliant way.
- Handles travel arrangements for visitors and reservations for hotel.
- Organizes various events and activities for employees and contract staff.
- Acts as front desk (welcome visitors, suppliers and announces arrivals).
- Prepares agenda’s and takes minutes for meetings as required.
- Handles Project and Portfolio documentation as required.
- Manages business projects as directed by the Project Execution Director, or other Sweden management team member
- Support, organize and coordinate various tasks and projects for the Associate Procurement Director and the Sweden team
- Be responsible for the Engineering Procurement mailbox, acting as a local point of contact for all procurement related enquiries
- Assist the procurement department in the consolidation of information to better streamline the processes, procedures and guidelines available
- Assist the Global Engineering Procurement Team in UK & US as required
- Attend and follow up actions from meetings with suppliers
- Access the email accounts of Project Execution Director and Associate Procurement Director and support to schedule their appointments and answer or redirect routine enquiries from internal or external sources maintaining high professional standards whilst meeting conflicting needs
- Perform other administrative tasks using independent judgement and discretion
- Plans, organises, and schedules own workload through system maintenance so that all activities are completed accurately and on time
- Understand and learn our new Procurement systems




Minimum Requirements - Education and Experience

- Experience with using computers and software in your daily work, SharePoint, Box etc.
- Fluent in both Swedish and English.
- AZ experience preferred and experience in similar role and function
- Comfortable working in a changing and high tempo environment
