Hiring Private Assistant

6 months in Sweden and 6 months overseas


Household of a private person seeks to hire a mature, reliable and experienced high-end service professional.
The Private Assistant will deliver a comprehensive, reliable and responsive custom home and lifestyle experience allowing the family to enjoy their homes- on demand- with no surprises, worry, frustration or distraction.
Job description:
The Private Assistant will ensure the smooth running of the principal’s homes and households both interiors and exteriors by performing a variety of duties, including very hands-on activities and tasks, and entertaining. Maintenance, operating systems and security protections are key responsibilities.
The role requires clear communication, good English and Swedish skills, establishing goals, identifying deadlines, establishing processes and presenting solutions. The individual should be flexible in their work schedule, energetic, proactive, possess strong organisational skills and ability to assure the proper and smooth management of large homes. The Principal expects a high service level and an adaptable and energetic personal style. The Principal seeks a collaborative and productive relationship fitting the needs, expectations and usage of the residences. Of course, the position often requires 24/7 attention and responsiveness. Your resilient personal style is very comfortable with change and shifting priorities.

The goal of the Assistants work is to execute all the activities, staffing and upgrades which deliver seamless and consistent enjoyment and utilisation of all properties.
The property is located between Uppsala, Enköping and Bålsta.

Responsibilities and Expectations:

Maintain a professional relationship and effective communication flow with the principal and relevant personal staff

Develop, oversee and keep maintenance schedules and progress on various projects.

Create operating manuals for each residence

Work with the maintenance team and vendors to ensure all operating systems and structures are in proper working condition

Create structure and organization in the homes


Make sure cars and boats are maintained and in good shape


Oversee all outside contractors and vendors

Supervise and direct any construction and renovation projects

Oversee all yard and landscape maintenance.

Create a check list of all the service providers and create a database.

Run errands when necessary.


Approve and manage all bills and invoices and send to the accounting for processing.


Coordination and facilitation of event, parties and entertaining including:

Communication with all involved staff and business

Caterers

Contact and direct rentals

Oversee and make sure all staff is presentable
Requirements:
· Good english speaking skills
· Organisational skills
· High level of service
· Driving license
· Working flexible hours
· Traveling 6 months a year
· Minimum of high school graduate
