Ework Group Stockholm is now looking for our next procurement coordinator to join us and being a part of our exciting journey that we have ahead of us!
About the role
As a Procurement Coordinator you will assist our clients with different administrative tasks such as the daily workflow in the VMS. You will also assist our clients in their own specific systems with for example order placements. You will monitor the Dashboard and ensure the tasks are done within the agreed time frame. This is done by sending reminders, initiating activities and training users, by mail, phone or chat. Moreover, the role as a Procurement Coordinator includes supporting the clients with questions regarding the procurement flow and work with issue resolution together with the other members of the team.

Overall responsibilities:
Handle matters related to time sheets and approve time reports
Offboarding when not extending an assignment and contribute to re-use of top
Monitor client dashboard (external system or Verama VMS)
Order placement (PO, requisitions etc, contracts in PB)
Onboarding of consultants – in client systems and Ework systems
Create good relations with Financial support and Support and help each other with incoming cases.
Sending reminders
Making approvals
Participate in regular team meetings
Maintaining correct information in systems
Reporting on errors to system supplier
First line support in Freshdesk (when applicable) · Lighter configurations in VMS (when applicable) · Training users in VMS (when applicable) · User support in VMS (when applicable) · Issue resolution in VMS (when applicable)
Preferable skills
Strong administration skills
You are structured and work efficiently with high quality
You might have worked with customer service
Professional communication in writing and speaking in both English and Swedish
Have the ability to lift your eyes and see the big picture but at the same time be careful with the details.

Placement: Our new office in the central part of Stockholm, Sweden
Start: As soon as possible or up on agreement.
