For our office in Gothenburg we are now looking for our next star to join us and being a part of our exciting journey that we have ahead of us. As a Procurement Coordinator & Sourcing Partner Admin you going to assist the our clients - and our Sourcing department with business critical activities.

Procurement Coordinator
As a Procurement Coordinator is to assists the clients with different administrational task such as the daily workflow in the VMS and/or client specific systems and with order placement in client systems. The Coordinator monitors the Dashboard and ensures the tasks are done within the agreed time frame. This is done by sending reminders, initiating activities and training users, by mail, phone or chat. Moreover, the Coordinator supports the clients with questions regarding the procurement flow, Verama and work with issue resolution together with the other members of the team.
Key responsibilities
Handle matters related to time sheets and approve time reports
Offboarding when not extending an assignment and contribute to re-use of top
Monitor client dashboard (external system or Verama VMS)
Order placement (PO, requisitions etc, contracts in PB)
Onboarding of consultants – in client systems and Ework systems
Create good relations with Financial support and Support and help each other with incoming cases.
Sending reminders
Making approvals
Participate in regular team meetings
Maintaining correct information in systems
Reporting on errors to system supplier
First line support in Freshdesk (when applicable)
Lighter configurations in VMS (when applicable)
Training users in VMS (when applicable)
User support in VMS (when applicable) · Issue resolution in VMS (when applicable)

Preferable skills
Have worked with customer service and contract administration
Have experience from working in complex IT systems
Are structured and work efficiently with high quality
Have experience working towards the Nordic market
Professional communication in writing and speaking in both English and Swedish
Have the ability to lift your eyes and see the big picture but at the same time be careful with the details.



Sourcing
As a Sourcing Admin you are responsible of Decoding CVs, creating and publishing new requests in the Verama Portal so that the suppliers can quickly get a hold of and apply to new assignments. Furthermore so that the Sourcing Partners can find the best candidates as quickly as possible and also offer them in a professional way.
Key responsibilities
Decoding of CVs
Creating and publishing new job requests in Verama ATS
Being responsible for the digital “business notepad”

Preferable skills
Being very adept in working with MS Word and using the computer and standard computer systems
Being structured and working efficiently with high quality
Professional communication in writing both English and Swedish
Have the ability to lift your eyes and see the big picture but at the same time be careful with the details.
