Our client is currently in need of three Project Administrators. The client works in the wind industry. The Project Administration Team assists with administrative tasks for various projects within the Offshore Wind portfolio, including those related to Construction, Market Development, Product lines, and Operations & Maintenance Projects.
You will be assigned to certain projects where you will carry out your duties every day, reporting to either the Project Management Officer or Programme Director. You will adhere to project governance processes and standards to ensure that the administrative tasks in the project are executed smoothly and punctually.
In addition to being a member of the Project Administration Team, you will have the opportunity to contribute to enhancing the processes, standards, and templates. This includes sharing and implementing best practices. We welcome individuals at all levels of seniority, from junior to senior, and also value experience from other administrative roles.
Job Assignments
• Managing meetings, events, and scheduling appointments
• Recording minutes and actions
• Creating and organizing reports, presentations, and project files
• Adding or removing project team members during the project's start/end
• Keeping distribution lists and organization charts up to date
• Managing access rights and overseeing the Sharepoint site
• Communication within the project team
• Handling purchase requests, purchase orders, and contracts
• Overseeing the approval process for invoices
• Saving and distributing project paperwork
• Interacting and discussing with important individuals involved in the Offshore Projects, Procurement, Commercial, Finance, and IT
• Providing guidance and assistance to fresh projects and members of project teams
• Actively participating in enhancing templates and procedures, and discovering methods to enhance productivity
Requirements
- Proficient in utilizing various Microsoft Office applications such as Teams, Powerpoint, Excel, Word, and Sharepoint
- Advanced business skills in SAP finance and procurement
- Fluent and professional English for business purposes
- Thorough comprehension of procedures, standards, and templates
- Strong ability to effectively communicate and interact with others
- Proficiency in stakeholder management
- Familiarity with complex construction projects
- Prior experience in project settings, preferably in the wind or construction sectors
