This position is starting as a six month consultancy assignment, after which the ambition is to transfer the employment into a permanent position.
The location for the assignment is at our client’s modern and inviting office in Liljeholmen, Stockholm. The start date for this assignment is as soon as possible.
Your assignment
As a PMO Administrator for our client’s NPD and R&D you will be part of a global team of 35 members located in Stockholm, Åhus, New York and Walkersville, Canada. As a Project Administrator you will work across multiple projects and project types under the full NPD and R&D scope within the company.
The role includes tasks related to the entire project portfolio; the management and administration with an intent to create a clear overview of our projects and their status (e.g., timeline and budget) and in line with the project management systems of the company. Were the role also includes administration around meetings where projects are reviewed, including preparation, documentation and follow up.
Key Responsibilities
Own and keep track of the master list and information flow around our project updates for the stakeholders
Set up and coordinate meeting with key stakeholders
Be able to run smaller projects for the team related to support the NPD process
Support the NPD and R&D LT related to overall administration on team strategy
Develop and support effective communication mechanisms between the project teams including team meetings
Keep track of budgets and PO related to projects
Keep the project calendar up to date
Your background
The position requires a minimum of 5 years’ experience of project administration or similar, such as administrative roles and service functions
Fluent in English
A high degree of computer literacy including advanced knowledge of the MS Office Suite – especially MS Excel and Word as well as Smartsheet
Understanding of the common and fundamental project management processes e.g., risk management; change control, timelines etc.
Experience from production is a benefit
You enjoy working at a high pace and that many projects are happening simultaneously. We think that the person who will be happy in this role is very structured and able to handle multiple projects and deadlines at the same time. Since it´s a global organization, being very diverse you should be comfortable in an international environment, and you also need to speak English fluently for that reason. The work is cross-functional, so you should also be a team player and have strong communication skills.
To succeed in this role, we also believe that you are a good communicator who is comfortable asking questions and making suggestions when you see possibilities for improvement. You have a structured way of working when coordinating and planning activities, as well as monitoring timelines to ensure project dependencies are met.
