To be successful in this role you have 3-5 years of experience from capacity and resource planning from other IKEA unit or external multi-national company. You are passionate to actively contribute to setting up ways of working around capacity planning for Group Expansion Central Planning Hub (CPHub).
You have :
• Excellent knowledge about capacity planning
• Excellent knowledge of managing data, Excel and business intelligence tools
• Excellent knowledge of global and market people planning approaches
• Good knowledge about project management and project planning
• Good understanding of the Retail Expansion and all integrated parts influencing the total project planning
• Good knowledge of how to organise, store and maintain records and information
• Good knowledge of how to create and implement change initiatives and manage stakeholders
• Good knowledge of IKEA concept, brand objectives, values and vision
As a person you know how to build trustful relationships through strong interpersonal skills and you have good communication and presentation skills. The ability to prioritise and make decisions with speed and simplicity in your daily work comes natural to you. You also come with a strong analytical and problem-solving capability with ability to translate business needs into realistic plans. This role will require you to have ability to listen to other opinions and bring the right skills and knowledge to the conversation using agility and leadership.
YOUR RESPONSIBILITIES
In the role as Project Capacity Specialist you will be part of creating the future IKEA by contributing with an up to date overview of the CPHub capacity needs and securing effective resource allocation in projects to meet our business needs. This will give CPHub improved possibilities to work more efficient when preparing and planning of new Customer Meeting Points (CMPs) and major rebuilds part of CPHub scope.
You will:
• Keep an ongoing capacity plan and resource overview updated for a rolling 18 months for all projects within the CPHub scope in collaboration and alignment with Planning Project Leaders, Portfolio management team and resource owners
• Continuously develop quality of estimated resource need and reported time in projects
• Collaborate with Planning Project Leaders to secure they are in line with planned timelines and project scope
• Simulate and give input to project timelines based on resource availability in collaboration with Planning Project Leaders
• Compile information, evaluate duration and time allocations per CMP format (project) and prepare for updating agreed frames
• Monitor changes in project timelines and project portfolio, and work proactively to adjust project resources to meet our capacity needs in collaboration with CPHub Managers, Planning Team Leaders and Project Planning Leaders
• Regularly validate plans with CPHub management team and support CPHub with overall portfolio and capacity planning
• Develop and improve ways of working linked to improvements in the planning process and tools
• Work across functions within Ingka Group and collaborate with other IKEA units
• Drive an open and sharing climate, being a role model of the IKEA values
This role is located in Malmö and will report to the Planning Project Manager, Group Expansion.

With the customer at the heart of everything we do, Group Expansion takes responsibility for strategic expansion planning enabling penetration of existing and new markets. We take the lead for business development of existing and new customer meeting points. We act on business needs and empower the markets to maximise accessibility, implement our retailing concepts and fully utilise our assets in the new world of IKEA – all at lowest cost, with economy of scale and sustained profitability.
