The Communications, External Relations and In-Kind Division at the European Spallation Source (ESS) in Lund, Sweden, invites applications for a temporary position of a Project Leader for Event Management / International Particle Accelerator Conference (IPAC) 2017.
Description of directorate/division
The Project Leader for Event Management / IPAC 2017 will report to the Head of Communications, External Relations and In-kind Division, which is in charge of strategic and operation activities relating internal and external communications, stakeholder relations and In-kind management.
Description of main responsibilities
The project leader for Event Management will act as the internal project leader for IPAC 2017, the International Particle Accelerator Conference held in Copenhagen 2017. The IPAC conference series started in 2010 but had then already been running since the 80s as regional conferences in USA, Asia and Europe. IPAC gathers some 1000-1200 scientific participants and some 200-300 industrial exhibitors annually with the conference alternating between the regions in a three year cycle. This role requires:
Project Management
• supporting the cross-functional ESS project team for IPAC 2017 in close collaboration with the IPAC 2017 Local Organizing Committe chairman
• management of external suppliers and sub-contractors
• preparation and organization of meetings of the IPAC 2017 Local Organizing Committee
• financial management and control of the IPAC 2017 budget
Programme
• supporting the International Organizing Committee, the European Physical Society (EPS) IPAC Organizing Committee (OC) and the Scientific Program Committee (SPC). These committees owns the IPAC brand and manages the conference program
• document and evaluate all IPAC related work in support of future IPAC events
Logistics
• management of all logistical arrangements such as venue, accommodation, catering, transports and shuttles, technical equipment
Participants management
• ESS support for speaker invitation
• registration management including set-up of the conference/registration website
• management of participants fees
Promotion
• promotion of IPAC 2017 in collaboration with external stakeholders and with the respective specialized in-house teams
• purchase of advertising space
Qualifications
• Proven professional experience (more than 5 years) from a similar role as project leader
• Experience in managing large-scale international events with up to 1000 participants
• Experience in working in or with the public sector
• Experience in working with international, cross-functional teams
• Academic degree in a subject relevant to the portfolio of the tasks
• Proven project management skills, including responsibilities for financial management and reporting
• Excellent written and verbal English skills
