Mölnlycke is now looking for a new Project Portfolio Administrator to join our Wound Care R&D Team

PURPOSE OF POSITION

To support cross-functional projects and portfolio work in order to ensure expected benefits that support the business strategy.
The Portfolio Administrator role is focused on the consistent flow of current, accurate, and usable information from the steering committee to the PMO and project managers and vice versa.
The Portfolio Administrator is tasked with collecting and updating projections of project timing and resource allocations in order to provide the capacity forecast. This data comes from both PMO and Programs (for pending and frozen projects) and project managers (for active projects).
The successful candidate will manage the Wound Care R&D project and portfolio information technology systems for configuration of software options, curation of data, and preparation/presentation of reporting.
To guide users as system super user/trainer.

KEY ACCOUNTABILITIES
Understand project methodology methods to ensure efficient set–up and management of projects according to the process and details of product life cycle process phases BG0-BG5.
Track that projects have updated resource, cost, benefit, and status reporting.
Support project managers to ensure project quality, time, cost efficiency, and customer satisfaction.
Make project and portfolio reports presentation-ready
Support project managers in communication regarding progress, flag risks, and secure quality in project reporting. Assist in resource and capacity reporting
Contribute to continuous improvement activities in order to increase overall project efficiency
Contribute to project portfolio management and the business planning process with accurate data in project, project portfolio management, and quality management systems.
Analyze and deliver input for consequence analysis and scenarios of current and future portfolio plans
Administrator for the current Project Management software, managing users, setting system parameters, and providing training
Assist in PPM system testing in case of changed processes, new development, IT upgrades, etc.
Oversight and validation of required project management documents


CAPABILITIES, QUALIFICATIONS AND EXPERIENCE
Knowledge of project methodology and regulations related to Medical device industry.
Collaboration - Able to communicate with stakeholders to get things done. Comfortable working cross-functionally in a matrix.
Result and business focus – Business acumen and analytical skills. Focus on action and outcomes.
Team leadership skills – Manage team members well, gets the most and best out of team members and other stakeholders; sets and communicates project goals and timelines.
Academic background related to business and/or project management.
Basic knowledge of the regulations related to Medical device industry.
Knowledge of MS Office suite required and knowledge of Project Management (PPM) software preferred.
Documentation skills in English.
Supporting and flexible mindset.
Ability to effectively provide information at all levels, including top management.
Excellent interpersonal, communication and organizational skills, keen attention to detail.
Experience from working in a dynamic global organization minimum 2 years
Experience from different areas of the business externally and/or internally
Experience in business process management
Experience in database system work
