For our IRONMAN Europe, Middle East and Africa business and based in Kalmar, Sweden we are actively looking for a highly motivated, fluent Swedish and English speaking:
Project Coordinator (m/f/d)
Working as part of an expanding operations team in Sweden, and reporting to the Project Manager the Project Coordinator will be responsible for several elements and aspect around the events primarily in Sweden. The Operations Manager/Project Coordinator will oversee almost all aspects of event planning and execution whilst also fulfilling course and/ or venues related roles as part of the wider operations team within EMEA race portfolio covering primarily IRONMAN and IRONMAN 70.3, but also possibilities to support Epic Series Mountain Biking and UTMB Trail Running events.
Key Responsibilities
Co-project leading with responsibility for planning and executing Swedish IRONMAN events together with another Project Coordinator, supported by the Project Manager.
Responsible for structure and planning based on an annual cycle leading up to events with regard to ensure the best possible setup on venues and courses (swim, bike, run, IRONMAN Village, Transitions, Finish Line, Athletes Garden, Awards etc.).
Work in detail as operational specialist to ensure that all conditions are well prepared, or are thoroughly worked through. From design of venues to equipment on courses.
Compilation of detailed event documentation.
Have responsibility for the local warehouse, all from knowledge of equipment to inventory
Responsible for logistics coordination, orders, shipments all through the year.
Contact, negotiation and coordination with vendors for all type of orders. From fences, toilets, grandstands to water, hotels, food and energy bars etc..
Be budget responsible specific parts of the event budgets. Make negotiations and calculations to reach as far as possible with a given budget.
Collaboration with other departments in relation to marketing, branding, side events etc.
Support contacts and coordination to authorities (municipalities, police, etc.).
Be a leader onsite for events and facilitate the process of building, executing, and tear down.
Skills and competencies
Relevant education and experience
Experience working in a project driven organization
Experience in planning and delivering events
Experience in logistics and warehouse management
Experience and licensed to handle different types of fork lifts.
Strong attention to details, structure and ability to document plans to a high level.
Ability to go in depth in an operational plan order to analyze and develop setup on venues and courses.
Can take control of planning and execution processes.
Can draw and visualize by at least using Powerpoint, but preferably for the development of other documentation and design programs such as Sketch-Up.
Can communicate coordinately with a wide range of interests, from authorities over volunteers to suppliers.
A willingness to work in an multi national organization
A willingness to work event weeks (long days away from home) and travel internationally to events.
A willingness to work evenings and weekends throughout the year if meetings and tasks so require.
A team player with a ‘can-do’ attitude and a hands-on approach.
