Context
International IDEA’s publishing programme is one of the key components of the organization’s public identity. International IDEA produces a variety of publications, both print and electronic, each aimed at achieving particular objectives and each targeted at specific audiences. The Institute’s publications include handbooks, reports, policy papers, policy briefs, discussion papers and conference reports. International IDEA’s knowledge products are published in many languages, but the main languages are Arabic, English, French and Spanish.
This post serves both the Publications team and Communications team with a range of different tasks, from designing graphs and charts for publications to writing, editing, and posting new articles to our intranet. The role requires creative thinking, flexibility, excellent time management, attention to detail and the ability to coordinate across various teams.
Duties and Responsibilities
Publications
- Supports the production and promotion of publications by, designing graphs and charts, proofreading of PDF files, fact-checking, and data research of publications.
- Liaises with programme staff and external providers on the different stages of production of publications.
- Produces layout of covers and short publications in Adobe InDesign (based on existing templates). Assists in identifying and sourcing cover images for publications.
- Maintains, develops, and schedules content for the Publications team’s Twitter account.
- Uploads information about new publications to an internal online community in Yammer.
- Maintains and updates the Publications’ electronic archive.
- Maintains inventories of publications stock at HQ and sends books to regional offices and partner organizations upon request. Liaises with regional offices regarding their stock of publications.
- Supports the planning and implementation of book tables at events.
- Uploads electronic publications to the Swedish Royal Library and to Google Books.
- Provides support to procurement processes including researching and drafting background documents, checking statistics and liaising with finance and admin colleagues.
- Provides support in summarizing and developing analytics for publications surveys and downloads.
Communications
- Produces layout of communications material including event programmes, brochures and fact sheets in InDesign and social media posts (based on existing templates in InDesign or Canva).
- Uploads and publishes articles and sources and uploads images to the website to support programme colleagues.
- Assists in the induction process of new hires by adding contacts to internal communications platforms, setting up user accounts for the website Content Management System and creating staff bio pages on the website.
- Uploads and updates staff profiles on the website.
- Uploads press mentions to an internal online community in Yammer.
- Receives and forwards general web inquiries to the programme teams.
- Records and edits videos of short speeches, interviews and webinars. Supports in the creation of videos from storyboard to post-production.

Reporting line
- Publications Manager
Education and Experience
- University degree in communications, journalism, publishing, political science, or a related subject.
- Minimum of three (3) years of professional experience in publications production processes or communications preferably in the development field.
- Advanced user of Microsoft Office, Adobe Acrobat, Adobe InDesign, Adobe Illustrator, Adobe Photoshop and Adobe Premiere Pro and other relevant publishing tools.
- Experience working with websites and content management systems like Drupal is an asset.
- Proven experience in proofreading material for a range of traditional media and audiences, and for web and social media, resources would be an asset.
- Experience of working in an international context, e.g., in an intergovernmental organization is considered an advantage.
- Fluency in written and oral English is required; Knowledge of French, Spanish or Swedish would be an asset.
Terms of Contract:
- Local Post.
- Fixed term appointment for two (2) years.
- Remuneration - 34,643 SEK per month
Please note as this is a local post, International IDEA will bear no costs relating to the relocation of the selected candidate to the duty station. This position is open to those legally authorized to live and work in Sweden for the duration of the contract. International IDEA is not able to support work permit applications.
