Receptionist - member of security team - British Embassy, Stockholm
A vacancy has arisen for a receptionist in the security team of the British Embassy, Stockholm to cover the maternity absence of one of our colleagues. The role of receptionist, within the security team, is a very important function at the Embassy. The successful candidate will be the first point of contact for customers who visit or telephone the Embassy and our staff.
Job description:
.The day to day running of reception including greeting and managing log-in procedures for Embassy visitors,
.Responding to email messages from customers (internal and external),
.Call handling and advising members of staff,
.Booking our internal conference room
.Keeping contact lists up to date/General admin based tasks and
.Providing outline advice to British nationals seeking advice on passport renewals, UK travel advice etc.
The receptionist works as part of the Embassy security team and will also be responsible for
.Ensuring our access control system for staff, visitors and temporary staff works well and for maintaining other security procedures.
The receptionists will also have an hour a day responsibility for receiving goods on behalf of the embassy using an Oracle based system.
The work requires the following skills and experience:
.Good interpersonal skills, in particular experience of dealing with members of the public, personal and telephone callers, colleagues and business callers. Customer service experience will be seen as a merit.
.Ability to work collaboratively within a small team and to be flexible to work on a range of very different tasks
.Excellent planning and co-ordination skills and experience that can be used in this multi task position. Ideally to have worked in an environment where attention to detail and procedure is important
.IT competence, especially windows and internet based systems
.Fluent, both written and spoken, in Swedish and English
Monthly salary for this position will be SEK 21,000.
