Front desk receptionists play a key role in a wide range of organizations as they often present the first impression of the organization to clients and customers. At Four FM, the receptionist is the backbone of our delivery to our clients and we require more than others in sense of responsibility.
We need our Receptionists to monitor our service delivery in all disciplines as cleaning, vending and maintenance, acting as point of contact and stakeholder.
General Purpose
Attend to visitors and deal with inquiries on the phone and face to face with service. Supply information regarding the organization to the general public, clients, customers and employees.
Assist the local client representatives with various clerical and administrative support. Keep up to date with all relevant rules and regulations applicable to the site.
Assist Service Coordinator and or Manager, monitoring the various trades we deliver within our scope, report deviations, coordinate delivery and act as point of contact.
Typical Job Tasks and Responsibilities
· Deliver excellent customer service at all times
· Answer telephone, e-mails and direct calls
· Take and relay messages
· Provide information to callers
· Greet persons entering organization
· Direct persons to correct destination
· Deal with queries from the public, customers and staff
· Ensure knowledge of staff movements in and out of organization
· Monitor and manage access control (badges, keys and passwords) and maintain security awareness for the employees.
· Monitor and manage access control for visitors and inform of the security rules.
· Provide general administrative and clerical support
· Prepare correspondence and relevant documents
· Receive and sort mail and deliveries
· Schedule and coordinate appointments
· Maintain employee and department directory
· Organize conference and meeting room bookings
· Co-ordinate meetings and organize coffee, drinks, catering.
· Administer leasing cars and parking places
· Monitor and maintain office equipment
· Control inventory relevant to reception area
· Arrange transportation for employees and visitors
· Tidy and maintain the reception area and areas related to the service (kitchenettes, coffee machines etc.
· Inventory kitchen porcelain and other kitchen supplies
· Assist handyman/Janitor
· Monitor all Four FM services in scope at client and report to SC or Manager.
Requirements: Excellent customer orientation, fluent in Swedish, English and Finnish, skilled administrator and multitasker, experienced in switchboard operation and in office software, driver’s license is an advantage.
