We are currently hiring a Sales Operations Specialist to join our office in Uppsala, Sweden (can be remote).
Viedoc has a game-changing eClinical suite designed to accelerate clinical trials and advance the development of drugs and medical devices by offering the latest in technology to streamline the electronic data capture process. Year by year, Viedoc evolves with a set goal to significantly reduce the time it takes to evaluate clinical research, leading to new treatments and cures becoming available to patients faster.
Job description
You will have a key role in an international organization that service life science companies and research institutions. The sales operations team members are often liaisons for sales to other parts of the organization such as finance, marketing, legal, QA and IT departments. The Sales Operations Specialist will represent and manage the support function to Sales in the North America Region. The Sales Operations Specialist will not proactively sell Viedoc to new prospects or perform Account Management with current customers. But rather you are the key to knowledge for Sales about Viedoc as a company, Viedoc as a product and the services we provide.
You will join a global team with a solid foundation of processes and opportunities to contribute to the department's success. In your role as our Sales Operations Specialist, you have responsibilities in the following areas:
Sales Process
- Support in ongoing sales process development
- Sales process adoption and compliance
- Support to Account Managers on Sales communications
- Understand and carry out pricing policy
Sales Analytics
- Prepare and present sales metrics when needed
- Maintain sales forecasting in CRM in collaboration with Account Managers
- Maintain good record keeping in CRM and company archives
- Organize and update client communications in the CRM system
- Collaborate with CRM team on CRM related tasks and changes
- Market research
Prospect & Customer Interactions
- Sales qualify incoming leads
- Support current customers in quotations updates
- Customer support questions regarding Viedoc price, product and company
Sales Administration
- Register new potential clients in the CRM system
- Register new contacts for potential and existing clients
- Support in Sales RFIs
- Liaison between Finance, Legal, Professional Services, IT and Sales
Proposals & Agreements
- Preparation of Non-Disclosure Agreements, Master Service Agreements, Quotations and Work orders
- Preparation and sending of all quotations in the region (in collaboration with Account Managers)
- Convert Viedoc quotations to Work Orders
- Arrange/facilitate electronic signatures on legal documents
- Recording and archival of all agreements in CRM and company archives
- You will report directly to the Global Head of Sales Operations.
Who you are
We are looking for a tech-savvy person who doesn't miss a beat, has an eye for detail and a lust for working with people. You enjoy working as part of a team but are also comfortable working independently. The role requires someone that likes to learn, is super organized and can multi-task well. You have worked in a CRM system, have skills in Excel and are a polished professional that can present internally as well as externally.
This role requires someone with a unique profile of being well organized with detailed administration and outgoing with a drive for communicating.
You have 3+ years of relevant experience in a software sales organization and experience in life sciences. It is a minimum requirement that the candidate has one solid experience or the other, but preferably both (Software Sales + Life Sciences/Clinical Trials). We assume that your knowledge in English is excellent in speech and writing. Knowledge in Clinical Trials, Information Technology, Information Security and/or licenses sales is a highly recommended experience for the role and a superadded plus.
