Being a remote-first company, offsites and get-togethers are an important part of what we do. We’re looking for a dynamic in-house events planner to build out and manage our internal events program. This person will ensure successful planning, oversight and execution of our events and programs including, internal events, Sales Kickoff and Partner events and executive programs. This will include venue selection, travel arrangements, menu planning, swag procurement, onsite event management, and more throughout the year.
Our People team supports over 800+ team members in over 40 different countries. Our team is highly technical and thrives on being able to dive into the details, build from scratch and create structure through chaos. We’re ambitious too. Grafana Labs is scaling at a rapid pace and we’re evolving our team, our processes and the support that we offer to the business at a fast pace.
We’re looking for an exceptional Global Events Planner to support our global team. You will need to thrive in a fast-paced environment, be able to manage through ambiguity, change and complexity, while supporting the impact to a global organization. This role requires a subject matter expert with excellent technical attention to detail, strong organizational and project management skills and a “move fast to make it real” mindset.
Requirements:
● 3-5 years of experience planning events and large conferences globally (remotely a plus)
● Passion for planning and running events to create a unique, positive experience for employees
● Strong operational skills, able to coordinate all moving pieces of an event. Stellar program development and management skills required.
● Strong communication skills to ensure all the right people are informed at the right time
● Ability to manage multiple event plans at once
● Bring clarity to the overall event planning process, act as the sole source of truth for all things event strategy and logistics.
● Ability to work with Executive staff at all levels of the organization to bring their visions to life with poise and confidence.
● Exceptional leadership, teambuilding, collaborative skills developing and working with high performing teams who understand business and audience needs. And proven ability to contribute to cross-functional global teams.
● Ability to communicate well at all levels of an organization via presentation, written, and spoken channels.
● A “Yes. And...” and “How do we?” approach to exploration, problem-solving, and consensus development.
● A self-driven work ethic and model.
● Experience working in a fast-paced startup environment
Responsibilities:
● Delivering well-executed, impactful, interactive events for the Grafanistas
● Execute in-person events at scale, including building out teams, budgets, equipment delivery, vendor relationships, attendee management, and more
● Building playbook, best-practices for future events, as well as resources for teams to self-serve event planning themselves
● Manage communications between multiple stakeholders and teams to align expectations and execution
● Track progress from start to finish and establish metrics and tracking for successful events
● Willingness to travel to events as needed to support
