In this interesting role you will work with the following tasks:

- Organizing and overseeing project meetings, events, and schedules
- Documenting and sharing meeting minutes and assigned tasks
- Handling the creation of reports, presentations, and other forms of internal communication needed for the project
- Providing guidelines, best practices, and facilitating knowledge sharing
- Developing and enhancing templates, standards, instructions, and guidelines for ongoing improvement
- Oversee the process of obtaining approval for purchase orders, variation orders, and contract management
- Review and approve invoices on time using the SAP system
- Generate purchase requests, purchase orders, and variation orders in SAP
- Establishing the project in different digital platforms and communication channels
- Establishing and managing the structure of project meetings
- Distribute purchase order documents to both the requester and/or the supplier
- Handle, process and oversee incoming requests
- Maintain communication with all requestors
- Collaborate with appropriate project members, Service Desk, and project controllers
- Adhere to the client's operational methods by utilizing established procedures
- Facilitate the joining and leaving of project team members
- Documents and outcomes that mark important stages in a project and its progress
- Creating and distributing meeting agendas and presentations
- Handling permissions, lists for sending information, charts showing the structure of the organization, and schedules for holidays
- Processes for reviewing projects, identifying lessons to be learned, and reporting progress on a monthly basis
- Interacting and sharing information with stakeholders who are important to the project such as Finance, Accounts Payable, Procurement, Project Controllers, Commercial Managers, and IT
- Teaching and familiarizing the project team with new systems, processes, standards, and tools

The primary duties include assisting in the coordination and organization of meetings, managing communication, handling financial and procurement matters, establishing, and maintaining the project's governance and structure, and facilitating the process of adding or removing project members.

Requirements

- A proactive, optimistic, inclusive, and secure approach and method of working
- Exceptional abilities in effectively communicating and organizing tasks. A well-organized, prompt, and communicative style
- Over three years of experience working in a comparable position
- Fluent in English and Swedish, both written and spoken
