The Machine Directorate at the European Spallation Source (ESS) in Lund, Sweden, invites applications for a Team Assistant in the Integration & Design Support division.

Description of directorate/division
The Integration & Design Support Division provide ESS project with sufficient resources, develops processes, methods and tools within Survey, Alignment & Metrology, advice engineering groups on design, fabrication, installation and commissioning of equipment stands and support systems, monument system and other alignment systems. The division is responsible of the management of the Product Data Management system as well as to perform support, training and methods for the ESS projects, internally and towards collaborating partners.

Description of main responsibilities
Administrational support for the Head of division and the division staff, consisting of both employees and consultants.


• Assist the Head of Integration and Design Support with administrational tasks on a daily basis as well as calendar planning

• Provide content for the ESS intranet and external web.

• Help in preparing paperwork for new starters and assist with induction/introduction

• Prepare correspondence, reports, meetings, presentations, proposals, etc.

• Write minutes of meetings, organizational charts and internal information for the division.

• Process invoices, reimbursements, purchase requests and time reporting for employees and consultants

• Contact point between the division and service functions within ESS

• Keep track and store contracts for consultants  

• Handle other administrative duties (phone calls, walk-ins, etc.) in a responsive and courteous manner 

Working hours are standard office hours, but occasionally you will need to be flexible and work evenings due to meeting arrangements. Your English skills are excellent both oral and written and you have experience of working in an international environment. 

The position is permanent with six months initial probationary period. Your work place will be situated in Lund, Sweden.

Qualifications


• Solid experience (3-5 years minimum) from a similar role

• Fast and accurate computer skills, including MS Office. Proficiency with Mac computers is an advantage

• Very good at identifying, gathering and presenting relevant information

• Calm and ready to adapt to a fast changing work environment
