The European Spallation Source is one of the largest science and technology infrastructure projects being built today. The project includes the most powerful linear proton accelerator ever built, a five-tonne, helium-cooled tungsten target wheel, 15 state-of-the-art neutron instruments, a suite of laboratories, and a supercomputing data management and software development centre. In the context of its history and future as a scientific organisation, however, it is more than the sum of its parts. It is a brand new Big Science organisation and we are building it from the ground up.

About the Divisions:

The ESS is at an exciting turning point. It is in transition from being a construction site, to being an operating facility. To help us realise our goal of being the most powerful neutron source in the world, we are now looking for a Team assistant to the Accelerator and Target Divisions. 

The Accelerator Division is responsible for the design, construction, commissioning and operation of the ESS accelerator. The Division consist of a team of 100 employees and 30 partner staff and consultants. The Target Division is responsible for the design, construction, commissioning and operation of the ESS Target station and the team consist of 30 employees and 55 consultants. 

Together these two Divisions are looking for a Team Assistant to support both parties.  

About the role:

In this role you will be an important key player to ensure that the Acceleration and Target Divisions can work efficiently. 

Main tasks includes - but are not limited to:  


• Provide administrative support to the Accelerator and Target Divisions. 
•  Organize the administrative work, implement and adjust routines 
• Support and inform the Accelerator and Target Divisions staff of various administrative systems, policies and routines 
• Prepare and install IT equipment used in seminars and meetings 
• Create online travel bookings for staff, mostly when travelling in groups or for consultants. 
• Update the divisions Internal websites 
• Place requisition to procure standard equipment and consumables etc 
• Take care of the inventory and order new Personal Protection Equipment 
• Publish information on the intranet regarding new employees, events, AD/TD related news etc. 
• Make arrangement for external visitors (travel, accommodation, expenses, reimbursement) 
• Arrange meetings and workshops at ESS 
• Take meeting minutes, manage administrative communication and support documentation efforts 
• Request access and required trainings to the colleagues/newcomers/in-kind partner staff/contractors and collaborators. Checking the in-kind partners/contractors existing cards, accesses, training (enroll them to the training, request access if needed) and inform them. 
• Information and introduction to in-kind staff moving to ESS for installation as well as for new employees joining the Divisions
• Organise site-visits  

About you:

You need to be a higly motivated person with the ability to work efficiently, be solutions-oriented, proactive, taking initiatives and anticipating needs as required to take ownership of the work. You need to have an open-minded, flexible, objective and responsible mindset, be well organized, structured, service minded and take pride in meeting deadlines. Confidentiality is of the utmost importance and you act with confidence and work well under own direction. We truly believe that you possess excellent writing, organization and interpersonal communication skills, along with a natural way of handling cultural diversity. The work environment is characterised by fast-pace of work, you must therefore enjoy the diversity of such an environment and have a personality suited for the challenges it presents. In addition, proficient computer skills, excellent MS Office skills and driving license is a requirement. 

We're looking for a real team player: Someone who is sociable with excellent communication skills, who likes to collaborate with different people. To establishes good relationships comes natural to you and you are happy to give support and care for others.

The working language of ESS is English so excellent English skills is a requirement but it would be great if you could work in Swedish as well. For this role, we need someone who can start as soon as possible! 

Duration & Location

The position is permanent with six months initial probation period. Your work place will be situated in Lund, Sweden.
