As a Tender Administrator/Customer Service representative you are responsible for the daily operational tender process in Sweden, and you will play an important role in our success in getting vital deliveries to patients every day and be a primary contact for our home delivery patients. You will serve as a customer contact (by telephone or email) regarding such matters as ordering, scheduling, and shipping.
You will belong to the Nordic Tender team, work closely with Sales and Account Managers. The responsibility for tenders will be cross functional and cover different departments. Focus will be on the Swedish market, but the position also includes support to distributors in all Nordic countries. The position is located in Stockholm.

Essential Duties and Responsibilities – Customer Service
You will be responsible for placing orders for our home delivery patients.
You will be calling for orders, emails and communicating with the warehouses, pharmacies, and clinics.
You will work in Siebel and Excel daily.
You will administrate patient travels in Sweden and abroad.
You will support business with information when applicable.
You will collaborate with cross-functional teams, mainly the Renal team.
You will maintain the customer - and patient data and keep customer files updated.



Essential Duties and Responsibilities – Tender Administrator
Responsible for booking and initiating briefing meetings with franchises prior to submissions; present the procurement content for franchises, evaluation criteria/models.
Responsible for flagging public procurements with unfair/inaccurate competition criteria in relation to LOU, that then are addressed by the Tender Manager and franchise leads.
Responsible for coordinating input from franchises and for tenders to be submitted prior to deadlines.
Receive new Tender contracts and ensure that you manage prolongations, contracts signed and filed correctly.
Meet all external deadlines for submission.
Update internal Pricing systems

Qualifications – Customer Service
You must be comfortable with Outlook and experience of an order management system is a plus.
You must have good communications skills as well as good interpersonal and organizational skills.
High school diploma required.
Fluency in Swedish and a very high level of English is required.
It is an advantage if you have experience of Logistics or/and Healthcare.
Previous experience in Customer Service is preferred.
Flexibility, organization and self-drive to deal with customer requirements.
A team player who is able to adapt to change and overcome challenges.
Ability to establish trusted relationships with external customers and internal contacts.
Possesses a curious mind with the ability to learn new concepts and skills quickly.



Qualifications – Tender Administrator
Formal training and courses in public administration/public procurement or skills acquired through work experience.
Experience of coordinating procurement processes in public healthcare services (medical devices/pharmaceutical industry, municipalities, county councils).
Excellent administration and process management skills.
Skilled in Excel
Knowledge of LOU is preferred, but not required.
Great communicator, verbal and written; effectively listening and sharing information with various groups, organizes communication and adjusts to audience.
Flexibility/pragmatism and personal accountability for results.
Highly collaborative, involves others, respect for others.
Fluent in Finnish is preferred, but not required.
Be able to communicate in English.
