On behalf of one of our clients, we are now looking for a Tender Coordinator for a temporary assignment in Stockholm. The assignment which is full-time will start as soon as possible with the duration of five months. One of the key prioritizations within the Market Access in the Nordics is to develop the tender management in Sweden to a best-in-class, pro-active function and a strong contributor to the commercial success. The Tender Coordinator has a good understanding of the tender process, including understanding and interpreting procurement, and will work in close collaboration with the Tender Manager and Bids Coordinator. The role reports directly to the Tender Manager Sweden.
Arbetsuppgifter
The Tender Coordinator is responsible for the daily operational tender process in Sweden. Furthermore the role will act as “helpdesk” to the franchises in close collaboration with the Tender Manager Sweden. The role will be responsible for managing Tender Sweden Sharepoint database and ongoing administration by updating systems, documents and contracts; be responsible for initiating briefing meetings with franchises prior to submissions; via Sharepoint dedicate tasks, evaluation criteria/models to the franchises based on procurement documentations. The coordinator is also responsible for flagging public procurements with unfair/inaccurate competition criteria in relation to LOU, that then are addressed by the Tender Manager and franchise leads.
Essential functions:
- responsible for booking and initiating briefing meetings with franchises prior to submissions; present the procurement content for franchises, evaluation criteria/models.
- review relevant public procurements and identify unfair/inaccurate competition criteria in relation to LOU, that are then addressed by Tender Manager and franchise sales lead.
- responsible for feeding information regarding requests and contracts to Bids Coordinator who then is responsible for updates in JDE. Back-up for the Bids Coordinator for this task.
- receive new Tender contracts and manage prolongations, have contracts signed and filed correctly.
- collect and archive tender requests.
- responsible for coordinating input from franchises and for tenders to be submitted prior to deadline.
- meet all external deadlines for submission.
- actively collect competitive information from all new contracts and store on server. Information should include pricelists, evaluation sheets, marketing materials etc.
- in close co-operation with, and upon approval, from Tender Manager, manage questions and answers in an ongoing tender.
Utbildning/erfarenhet
For this role we require that you have the following education and experience:
- formal training and courses public administration/public procurement or skills acquired through work experience.
- minimum 5 years of experience of coordinating procurement processes in public healthcare services (medical devices/pharmaceutical industry, municipalities, county councils).
We also require that you have the following business and technical skills:
- good understanding of the economic and legal environment in the counties/regions.
- good knowledge of LOU.
- excellent administration and process management skills.
- excellent skills in Swedish, both written and spoken.
- good skills in English, both written and spoken.

- ability to understand and analyze and distil large amounts of information into understandable concepts and language.
