The role of Mundekulla Vaktmästare, is focusing on Facility & Forest Management and Carpentry. The goal is to ensure Mundekulla’s accommodation and infrastructure is problem-free and safe so that employees and visitors can join in the unique Mundekulla experience. As such the Vaktmästare ensures that buildings and grounds of the RCC, the adjoint rental spaces (including EcoTower, Eneholm, Saunahouses, Volunteer Camp, etc), ponds, fences and pathways and related infrastructure are technically well maintained, clean and safe from emergencies such as fires or natural disaster damage, also providing appropriate security procedures to locks on doors and other infrastructure stay up-to-date.
Further, the Vaktmästare also oversees all woodwork maintenance on the farm (including forests, and Eneholm, except for gardens and food forest) as well as additional infrastructure enhancements as agreed with the Mundekulla Manager.
The Mundekulla Vaktmästare is expected to bring relevant experience in maintaining and enhancing facilities and infrastructure. The job involves a hands-on approach to fix and maintain things and trustful interaction with internal and external service providers and stakeholders. The role includes in particular
Daily operations
> Small fixes & maintenance, carpentry and installations
> Manage the upkeep of equipment and supplies to meet health and safety standards
> Responsible for all recycling and waste to Emmaboda återvinningstation + maintenance recycling station > Preparing & clean-up after of spaces for events: moving furniture around, setting up stands/stages, etc. > Managing organized storage and supply of vaktmästeri basics: tools & consumables (light bulbs, etc).
> Maintenance of systems and infrastructure, for example: Regular cleaning of all water traps, filters, heating systems, compost toilets, etc.
> Lead a group of volunteers on easier maintenance jobs (like painting)
> Supervise assigned facilities staff and external contractors
Ongoing and long-term operations
> Plan and coordinate all installations (telecommunications, heat, water supply & filtration, sewages, electricity etc.) and refurbishments
> Inspect buildings’ structures, paths, fences, and ponds to determine the need for repairs or renovations
> Review utilities consumption and strive to minimize costs
> Control activities and overall systems for waste disposal, building security etc.
> Allocate storage, work-yard, maintenance depot spaces according to needs
> Handle insurance plans and service contracts
> Keep financial and non-financial records for related expense positions
> Perform analysis and forecasting, maintains service plans for buildings and other infrastructure
Availability
> 80-100% position
> Full availability during large summer events (means: also working on weekend + extra days)
> Responsive and on call for emergencies, also on uncomfortable hours (doesn’t happen often)
> Work days connect to events. The vaktmästare must be present the first day of an event (and preferably also second and/or last day). This means also working on weekends.
Variations in workloads relate to seasonal demands – some unsociable hours and extra workload may be necessary during busy periods and Vaktmästare will be expected to deal with emergencies.
The Vaktmästare has a direct reporting line to the Mundekulla General Manager.
Qualifications and skills required
The ideal candidate will be well-organized and able to optimize the use of space and equipment while reducing operating costs, is an effective communicator, proactive and transparent, focusing on prevention, and creates a culture of collaboration to improve operation across the organization.
Requirements and skills
- Proven experience as facilities manager / handyman or relevant position
- Well-versed in farm operations and facilities management (sustainable) best practices
- Knowledge of basic finance and bookkeeping principles
- Excellent verbal and written communication skills
- Excellent organizational and team / contractor leadership skills
- Good analytical/critical thinking
- BSc/BA in facility management, carpentry, engineering, or relevant field
General management
- Contributes to developing vision, plans and projects to enhance Mundekulla ’s recognition as a Conference & Retreat Center of choice, securing appropriate booking, customer satisfaction, and utilization; agreeing commitments with team leaders to share in the delivery of related work-packages and making policy decision to ensure smooth operation of all Mundekulla activities.
- Requests, instructs and oversees the facility management activities.
- Supports the budgeting & planning finances and production to maintain Mundekulla progress against agreed parameters; keeping maintenance and enhancement records and other required records accurate.
- Works with other functions to prioritize their requests; requesting additional funding from the Mundekulla Manager for non-planned expenses and investments.
- Carry out day-to-day troubleshooting and address problems as they arise.
Team leadership
- lead by example in maintaining service standards
- Oversight of the staff, volunteers and contractors for their day-to-day operation and infrastructure enhancement projects
- Ensuring engagement & satisfaction of permanent staff, volunteers, and contracted resources
Operational
- ensuring other functions are informed of major maintenance efforts in a timely manner and in order to not interrupt the RCC and / or rental services.
- Owns the natural hazard and fire safety standards across the farm estate.
